Full name of the defendant.
Case number
Court case or docket number.
County

Surety
The surety company backing this bond.
Face amount
Total bond amount set by the court.
Premium
The premium your agency charged.
Status
Current bond status: active, forfeited, discharged, etc.
Agent
The agent assigned to this bond.
Next court date
The next scheduled appearance, if known.
Notes
Any additional details or follow-up reminders.

How to use this template

  1. Open the CSV in any spreadsheet application (Excel, Google Sheets, Numbers).
  2. Replace the example rows with your own bond records. Keep one row per bond.
  3. Use the Status column consistently — pick a set of statuses (Active, Forfeited, Discharged, Exonerated) and stick with them so you can filter.
  4. Update the Next court date column whenever you learn of a change, and note where the date came from.
  5. Review the register weekly. Sort by status or agent to catch bonds that need attention.
  6. Back up the file regularly. A spreadsheet has no automatic version history.

Limitations

  • A CSV does not automatically update when court dates change — you must check and enter dates manually.
  • There is no built-in alerting, assignment tracking, or audit trail.
  • Premium and face amounts are plain numbers — the spreadsheet does not validate or calculate them.
  • This template is not an official court record or a surety reporting format.

Frequently asked questions

How many bonds can I track in this spreadsheet?

There is no hard limit, but spreadsheets become difficult to manage beyond a few hundred rows. If you regularly carry more, consider dedicated software.

Can I add more columns?

Yes. Common additions include indemnitor name, power number, premium balance, and booking number. Add what your agency actually uses.

Does this work with my surety's reporting?

This is a general tracking template, not a surety-specific format. You would need to map columns to match your surety's requirements before submitting.
